Refund and Cancellation Policy

At MAI AIM Academy, we are committed to providing a fair, transparent, and student-centered enrollment experience. We understand that circumstances may change before or during a student’s educational journey. This Refund and Cancellation Policy outlines the procedures, conditions, and responsibilities related to course cancellations, enrollment withdrawals, refunds, and administrative fees. Our goal is to ensure that every student clearly understands their financial obligations and available options before enrolling in any academy program.

By enrolling in a course or program at MAI AIM Academy, students acknowledge that they have read, understood, and agreed to the terms outlined in this policy.

Enrollment in a MAI AIM Academy course or program represents a commitment to participate in the educational services offered by the academy. Students are responsible for reviewing all course information, admission requirements, tuition costs, payment schedules, and applicable fees before completing their registration.

Upon enrollment, students agree to fulfill their financial obligations according to the payment plan or tuition agreement established with the academy. Failure to complete a course does not automatically release a student from financial responsibility unless otherwise stated in this policy.

Students who choose to cancel their enrollment before receiving access to course materials or the online learning platform may be eligible for a refund of tuition paid, less any non-refundable administrative or processing fees, if applicable.

Cancellation requests must be submitted in writing through the official MAI AIM Academy Student Support Center before course access has been granted. Requests submitted verbally or through unofficial communication channels may not be considered official cancellation requests.

Once a cancellation request is received, the academy will review the request and notify the student of the refund determination based on the applicable enrollment terms.

Students who withdraw after receiving access to course materials, online classrooms, digital resources, recorded lectures, downloadable content, or other educational services may not be eligible for a full refund. Because digital educational content becomes immediately accessible upon enrollment, the value of educational services begins once course access has been provided.

Depending on the timing of the withdrawal and the student’s participation in the course, MAI AIM Academy may, at its sole discretion, approve a partial refund when appropriate. Each request is evaluated individually, taking into consideration the amount of course content accessed, assignments submitted, instructor interaction, and administrative services already provided.

Certain fees are considered non-refundable because they represent costs already incurred by the academy in processing student enrollment and providing educational services. These may include application fees, registration fees, administrative processing fees, technology fees, payment processing charges, evaluation fees, transcript fees, certificate replacement fees, and other similar administrative expenses.

If a program specifically identifies additional non-refundable charges during enrollment, those charges will remain non-refundable unless otherwise required by applicable law.

Students enrolled under an approved payment plan remain responsible for any outstanding financial obligations according to the payment agreement signed during enrollment.

Withdrawal from a course or program does not automatically cancel future scheduled payments unless specifically approved by MAI AIM Academy. Students should contact the Student Support Center as soon as possible if financial circumstances affect their ability to continue their payment plan.

The academy reserves the right to suspend access to courses, withhold certificates or transcripts, or restrict future enrollment when payment obligations remain unpaid.

In certain circumstances, students may request to transfer their enrollment from one course or program to another rather than requesting a refund. Transfer requests are evaluated individually based on course availability, academic requirements, scheduling considerations, and administrative feasibility.

Approval of a transfer is not guaranteed and remains at the discretion of MAI AIM Academy. Additional tuition charges or administrative fees may apply when transferring between programs with different tuition rates or requirements.

Although every effort is made to deliver all scheduled courses and programs, MAI AIM Academy reserves the right to postpone, modify, reschedule, or cancel a course when necessary due to low enrollment, instructor availability, technical issues, unforeseen circumstances, or institutional needs.

If the academy cancels a course before instruction begins, students may be offered one of several options, including transfer to a future session, enrollment in a comparable course, or a refund of eligible tuition paid.

The academy will make reasonable efforts to notify affected students promptly regarding any changes.

MAI AIM Academy recognizes that unexpected life events may affect a student’s ability to continue their education. In cases involving documented medical emergencies, military deployment, natural disasters, family emergencies, or other extraordinary circumstances, students may submit a written request for special consideration.

Supporting documentation may be required before the academy reviews the request. Approval of exceptions remains solely at the discretion of MAI AIM Academy and will be evaluated individually based on the circumstances presented.

Approved refunds will be processed using the original method of payment whenever reasonably possible. Processing times may vary depending on the student’s financial institution, payment processor, or banking system.

Administrative review of refund requests generally begins after all required documentation has been received. While the academy strives to process approved refunds promptly, actual processing times may vary.

Students will receive written notification regarding the status of their refund request after the review has been completed.

Students who have outstanding financial obligations may not receive certificates of completion, official transcripts, academic records, enrollment verification, or other academy documents until all financial obligations have been satisfied.

Completion of academic requirements alone does not eliminate outstanding tuition balances or administrative fees.

Students requesting a cancellation or refund should submit a written request to the MAI AIM Academy Student Support Center using the official contact methods provided by the academy. The request should include the student’s full name, student identification number (if assigned), course or program name, enrollment date, reason for the request, and any supporting documentation if applicable.

Each request will be reviewed carefully, and the student will receive written notification regarding the academy’s decision.

MAI AIM Academy reserves the right to revise this Refund and Cancellation Policy at any time to reflect changes in institutional practices, educational services, technology, or applicable legal requirements. Updated versions of this policy become effective upon publication through official academy communication channels.
